When you say work in events, the response is always the same: “Oh fun, so you organise parties!” If only it were that simple. Behind every successful event lies strategy, planning, creativity, and a whole lot of hard work.
Our job goes far beyond party planning. As project managers, we’re advisors, planners, problem-solvers and creatives all rolled into one. We make sure our clients never have to worry about a thing. Peace of mind is our promise, and we don’t use it lightly.
Every brief is different. Every approach unique
No two projects start the same. Some clients come to us with a detailed briefing. Others with just a vague idea or gut feeling. Either way, we start by listening, really listening. We get to the heart of their story and kick off our creative process from there. We look for the right angle to bring their vision to life, with a generous dose o Whisk magic.
We translate our concept into a visual presentation with a transparent budget, so the client knows exactly what to expect. Every proposal is tailored to the client’s wishes, objectives and brand DNA.
Whenever possible, we prefer to present our concept live. We strongly believe that presenting in person allows the message to land more powerfully.
It also opens the door for two-way communication, giving clients the chance to respond instantly with what they like, or what they’d approach differently.
Once the concept and budget are finalised, we move into the production phase.
Here, we rely on trusted partners who share our values and hold themselves to the same standards of quality. Sometimes they’re already involved during the creative phase, helping us shape even stronger and more original results together.
Ideally, we also schedule a tasting with the caterer in advance, giving the client the chance to sample the menu ahead of time.
Throughout the entire process, we keep the lines of communication short and clear. We schedule regular status meetings with our clients to share updates and discuss decisions. This way, they stay fully involved and we can remain agile when it comes to last-minute changes or additional requests.
As the event date approaches, more and more practical and production-related elements need to be finalised. Together with all partners, we create a detailed run sheet that outlines exactly who is responsible for what, and when. We also go over this schedule with the client, so they know exactly what to expect.
On the day of the event, we’re there from early morning until the very last detail is wrapped up. We coordinate everything on site; from build-up to breakdown. Clients often arrive once everything is set and ready for rehearsal. Exactly as it should be: worry-free and seamless.
During the event, we act as the main point of contact, for both the client and all suppliers.
For us, the journey doesn’t end when the lights go out or the last guest leaves. After every event, we schedule a thorough debrief, with both the client and our partners.
We listen to feedback, reflect on the process, and look at how we can collaborate even better in the future. Because we strongly believe in long-term relationships, and in growing by constantly learning.
